All tenants are required to carry their own Liability Insurance to cover their use on these premises and the people attending naming the Cupertino Odd Fellows Lodge #70 as additional insured. The Comprehensive general liability insurance policy limits of such insurance must not be less than $1,000,000 per occurrence for bodily injury, personal injury and property damage. Proof or a Certificate of Insurance is required by the Trustees and must be available before access to the building will be provided.
The number of persons in the facility shall not exceed that number which is posted designating occupant capacity.
Equipment and fixtures in the building may not be removed or altered under any circumstance. No structural or electrical changes to the facility may be made.
All Tenants will observe their schedule dates and times of use of the premises and will refrain from entering the premises during other times except by agreement with the Owner. Schedule times include setup and clean up.
A Lodge representative has the right to enter the building at any time during tenant’s rental.
No Tenant will sub-lease their schedule date or time, either to another Tenant or anyone else. Sub-letting is strictly forbidden.
There shall be no drinking of hard liquor, ONLY beer, wine, and champagne may be served and they may not be sold. Kegs are not permitted. Security staff is required and provided at a fee of $25.00 per hour. Security staff must be on site until the rental end time. Alcohol may not be consumed outside of the building. Servers must be the legal drinking age of 21. Under-age drinking at any event is strictly prohibited. Liability insurance is required.
Security
All Tenants are responsible for securing the building after each activity. This includes turning off all water faucets in the kitchen and bathrooms, turning off all lights, interior and exterior and locking all doors in the proper manner and locking the parking chain. If you find a plumbing or other problem, notify the Hall Manager or one of the other Trustees immediately so the problem can be corrected.
The premise is under 7/24 surveillance for security purposes.
When you leave, you must hang the Lodge door key in the kitchen, on the hook, on the right side of the door, where the parking lot key is hanging.
Keys shall not be copied under any circumstance.
All required County/City permits and fees must be obtained at least 14 days prior to date of event.
Fire Safety Rules
All decorative materials shall be made from a nonflammable material or be treated and maintained in a flame retardant condition by means of flame retardant solution or process. Fire Department approval may be required.
All exit doors shall not be obstructed by any means.
No open flame devices, including candles are to be used in any way.
No smoking is permitted in the Building. State Law prohibits smoking within 20 feet of public entrances.
HVAC
The hall temperature is pre-set to each scheduled event. In an event of any issues, please contact the hall monitor.
Cleaning
Re-arranging the tables and chairs in the dining room and the chairs in the Hall are the responsibility of the Tenant but all tables and chairs must be returned to the original set-up at the end of the activity. Care must be given when taking down the tables so they don’t get scratched. When piled they should be face-to-face and back-to-back.
Decorations are to be attached to the hooks provided along the walls. No use of adhesive, tacks, screws or nails are allowed, however thin straight pins are permitted on the acoustic tile. Only blue painters tape is allowed on the wood walls or wooden floor. No vessels of water or any food, are permitted in the carpeted area and no candles are permitted anywhere in the building.
All Tenants are responsible for removal of decorations, all rubbish and garbage including the bathroom trashcans. Tabletops and floors must be cleaned up immediately after their activity.
Any Tagging of the building (inside or outside) will have an automatic $100.00 charge taken off the cleaning deposit.
Garbage and rubbish must be placed in the commercial garbage dumpster located at the exterior West end of the building. Recyclable cardboard (flattened) placed in the blue dumpster. All other trash placed in the larger dumpster.
Dumpster usage is for your event trash only, not personal dumping.
Each Tenant must bring and replace the facility #33 gallon plastic garbage bags in the 3 garbage cans before they leave.
Dance wax, cornstarch, birdseeds, confetti, glitter, rice, straw, sand, bubbles, gum, fog, smoke, and similar material are not allowed: if used, damage fee will be charged of $100.00.
Clean and disinfect all public surfaces. High touches surfaces:
Tables, doorknobs, light switches, countertops, handles, toilets, faucets, sinks, etc.
All Tenants must abide by these Rules and Regulations; violations will result in levied penalties. Said penalties will be determined by the Trustees and be deducted from your Cleaning and Security deposit before returning any balance within twenty (20) working days.
